WE ARE ACCEPTING APPLICATIONS TO CREATE AN ELIGIBILITY LIST FOR CLERK TYPIST. THIS LIST WILL BE USED TO FILL CLERK TYPIST OPENINGS IN THE CITY THAT OCCUR DURING THE CALENDAR YEAR 2013. PLEASE NOTE THERE ARE NO POSITIONS AVAILABLE AT THIS TIME. IF THERE IS AN OPENING, WE WILL CONTACT YOU TO COMPLETE THE PROCESS. YOU WILL ONLY BE CONTACTED WHEN THERE IS AN OPENING.

Clerk Typist


SUMMARY:

Compiles data and operates typewriter or computer in performance of routine clerical duties to maintain business records and reports by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Typing speed required: 45 words per minute (net).

Uses typewriter and/or computer to compile information and prepare reports, business correspondence, requisitions, and other materials frequently requiring independent action and discretion on problems encountered. Entry/retrieval of data into/from computer. Prepares confidential and sensitive correspondence/reports.

Composes and prepares answers to routine letters.

Checks, analyzes, and classifies or alphabetizes materials, conducting limited research when necessary. Files documents and maintains filing system. Keeps confidential employee files updated, including worker injury/medical files.

Sorts and distributes mail, answers telephone, makes referrals, takes messages, and directs incoming calls appropriately, and performs other similar duties.

Answers questions in person or by telephone/fax concerning the organization or department, or refers persons to appropriate source of information.

Deals effectively with a variety of personalities and situations requiring tact, judgment, and poise.

Performs payroll duties such as time and wage computation, absenteeism, vacations, and
sick time for the department. Sorts and distributes employee payroll checks.
Keeps tickler files up to date. Keeps updated procedures manuals, department, safety, and disaster preparedness manuals.

Operates and maintains photocopying and fax machines. May also operate adding machine, calculator, and other office machines.

Makes simple postings to various departmental records. May prepare work schedules and expense/travel vouchers.

Proofreads all work for accuracy and neatness.

Processes work orders or documents requiring office procedural knowledge.

May perform cashier duties, collect money, and/or issue permits.

Regular attendance is a requirement of the job.

This job has no supervisory responsibilities.

QUALIFICATIONS:

EDUCATION AND/OR EXPERIENCE:

High school diploma or general education degree (GED); or one to three months related experience and/or training; or any equivalent combination of training and experience that provides the preferred knowledge, skill and abilities.

LANGUAGE SKILLS:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY:
 
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
